The rules for using TutorFlow, in plain English. The short version: one month free, cancel any time, your data is yours.
1. About these terms
These terms are an agreement between you and [PLACEHOLDER: legal entity name and ABN] (“TutorFlow”, “we”). They apply to tutors who create a TutorFlow account. Parents and students use TutorFlow through private links sent by their tutor and don't need an account.
TutorFlow is software for private tutors in Australia to manage students, lessons, invoices, homework and payments. By creating an account you agree to these terms and our Privacy Policy.
2. Your account
- You must be at least 18 and give accurate details. Keep your password safe — you're responsible for activity in your account.
- You're responsible for the information you add about your students and their families, and for having their permission to use it (see the Privacy Policy).
- An account is for one person. Team accounts for several tutors are not yet available.
3. Free trial
- New subscribers get a 1-month free trial. A card is needed to start it, and you're charged automatically when the trial ends unless you cancel first. We email you 3 days before.
- There's one free trial per person. If your email address or card has had a trial before, your subscription starts straight away without one.
- Cancelling during the trial ends your access immediately, and you won't be charged.
4. Subscription and auto-renewal
- Solo costs $25 a month or $250 a year (AUD, including GST), billed in advance by our payment provider, Stripe. Team and Enterprise plans aren't yet available to buy.
- Your subscription renews automatically at the end of each month or year, and the card on file is charged, until you cancel. We email a receipt after each payment.
- You can switch between monthly and yearly billing; the change takes effect at the end of your current period.
- If a payment fails, we'll retry it over the following days. If it still can't be collected, your access is suspended until you update your card.
- We'll give you at least 30 days' notice by email before changing our prices.
5. Launch offer
- New Solo subscribers get 50% off their first 12 paid months on monthly billing ($12.50 a month), or 50% off their first year on yearly billing ($125).
- Trial months and paused months don't count towards the 12.
- The offer ends if you cancel, including during the trial. If you subscribe again later, you pay the standard price. The offer can't be exchanged for cash or combined with other discounts, except Refer a friend credit.
6. Cancelling and pausing
- Cancelling: you can cancel any time in Settings › Billing. After the trial, you keep access until the end of the period you've paid for, and you aren't charged again. After that you can still download your data and cash out any card-payment balance, and parents can still pay invoices you've already sent.
- Pausing: on monthly billing you can pause for 1 or 2 months, up to 2 times in any 12 months. While paused you aren't charged, no emails or reminders are sent on your behalf, and your account is read-only. Your data and any remaining launch-offer months are kept.
7. Card payments from parents
Card payments are optional (terms version 2026-12). If you turn them on:
- Stripe Payments Australia provides the payment service. You open your own Stripe Express account and agree to Stripe's Connected Account Agreement. Payments from parents go into your Stripe account; you are the seller.
- TutorFlow platform fee: 5% of each card payment (including GST where applicable), rounded to the nearest cent and deducted automatically when the payment is made.
- Card processing fee: 1.7% + 30c of each card payment, deducted automatically. Stripe bills its processing fee to TutorFlow, and we pass it on at Stripe's standard Australian card rate — the same for every card.
- Money stays in your Stripe balance until you choose “Cash out” (minimum $20.00) to your bank account.
- Disputes (chargebacks) are handled by Stripe against your account. If your balance goes below zero, it's recovered from your future card payments or your bank account, and you agree to repay any amount TutorFlow has to cover for you.
- Bank transfer is always free: your bank details appear on every invoice and no fee applies.
- We'll tell you before these fees change, and ask you to agree again.
8. Refunds
- Your subscription: payments are non-refundable, except where required by the Australian Consumer Law. If you cancel, you keep access until the end of the period you've paid for. [PLACEHOLDER: confirm refund policy for yearly plans]
- Payments from parents: you decide whether to refund a family, and make refunds from your Stripe dashboard. The card processing fee and TutorFlow's 5% fee aren't returned on refunds — except when a family accidentally pays the same invoice twice, which TutorFlow refunds in full automatically.
- Nothing in these terms limits your rights under the Australian Consumer Law.
9. Your data
- Your data belongs to you. You can export it at any time from Settings.
- Homework files are deleted 2 months after you mark the homework reviewed, with a warning email 7 days beforehand.
- We handle personal information as described in our Privacy Policy, and never sell it.
10. Acceptable use
Don't use TutorFlow to send spam, to break the law, or to upload anything harmful or that you don't have the right to share. We may suspend accounts that do. [PLACEHOLDER: full acceptable use terms]
11. Liability

12. Changes to these terms
We may update these terms. If a change is significant, we'll email you at least 30 days before it takes effect. The date at the top shows when they last changed.
