This free tutoring invoice template gives Australian tutors everything an invoice needs: your name and ABN, an invoice number, dates, one line per lesson, the total, a due date and your bank details. Copy the plain version below into an email, document or spreadsheet. There are two versions: one for tutors not registered for GST and one for tutors who are.
Below each template you'll find a filled-in example and a short explanation of every part, so you know what to change and why.
Which tutoring invoice template should you use?
Use the version that matches your GST status:
| Your situation | Use | Title on the document |
|---|---|---|
| Not registered for GST (most tutors starting out, turnover under $75,000 a year) | Template 1 | Invoice |
| Registered for GST (required once GST turnover reaches $75,000 a year, optional below) | Template 2 | Tax invoice |
If you're not registered for GST, don't add GST and don't call the document a "tax invoice". If you're registered, your invoice needs a few extra details, covered under Template 2.

Template 2: tax invoice for GST-registered tutors
If you're registered for GST, your invoice is a tax invoice. For sales under $1,000, the ATO generally expects it to show the words "Tax invoice", your identity and ABN, the date, a description of what you supplied, and the GST amount or a statement that the total includes GST. Sales of $1,000 or more also need the buyer's identity or ABN, so including the parent's name is a good habit anyway. Confirm the current requirements on the ATO website.

What each part of the invoice means
"Invoice" or "Tax invoice". The title tells the parent what the document is. Only GST-registered tutors should use "Tax invoice".
Your details and ABN. Your name or registered business name, plus your ABN. Sole traders can apply for an ABN for free at the Australian Business Register. Add an email and phone number so parents can ask questions.
Bill to and Student. Bill the parent or guardian who pays, and name the student separately. With siblings, this makes it clear which child each lesson was for. You can put two siblings on one invoice with the student's name in each line's description.
Invoice number. Every invoice needs a unique number, and a simple sequence (INV-0001, INV-0002) is easiest. Never reuse a number, even if you cancel an invoice. Numbers make it easy for parents to use as a payment reference and for you to match payments.
Invoice date and due date. The invoice date is the day you issue it. The due date is when you expect payment. Most tutors use 7 days; 14 days suits larger monthly or term invoices.
Lesson lines. One line per lesson with the date, a short description, the length and the amount. Itemising lessons answers the question "what am I paying for?" before it's asked, and makes disputes over missed lessons rare.
Adjustments. Show credits (a lesson you cancelled) and extra charges (a late cancellation under your policy) on separate lines with a short reason. Never fold them silently into the total. If you charge for late cancellations, make sure the rule is in your tutoring cancellation policy first.
Total, subtotal and GST. Not registered: one total and a "No GST has been charged" line. Registered: show the GST amount (or say the total includes GST). Showing the subtotal before GST is optional but makes the maths easy to check.
How to pay. Your account name, BSB and account number, plus the reference you want. If you take card payments, include the payment link here too.
Payment terms. One short sentence. If you charge a late fee, state the amount and when it applies here and in your written terms, so nothing comes as a surprise. Our guide on getting parents to pay tutoring invoices on time covers late fees and reminder wording.
Tips for using a tutoring invoice template
- Save a master copy and make a new file for each invoice so you don't overwrite last month's.
- Name files consistently, for example
INV-0042 Sharma March 2026.pdf, so you can find them at tax time. - Send as a PDF, not an editable document. It looks professional and prints properly.
- Check the lesson dates against your calendar before sending. Billing a lesson that was cancelled is the fastest way to annoy a parent.
- Keep a register of invoice numbers, amounts, due dates and the date each was paid.
- Double-check the GST maths if you're registered: divide the GST-inclusive total by 11 to get the GST.

When to move from a template to invoicing software
A template works well with a few students. Past that, the time adds up: checking each calendar, copying lesson dates, numbering, exporting PDFs, emailing and tracking who has paid. The most common mistakes in hand-made invoices are a missed lesson, a duplicated invoice number and a wrong total.
TutorFlow builds each invoice from the lessons marked completed in your calendar, numbers it automatically, and lets you generate drafts for every student for a week, fortnight, month or custom period at once. You check the drafts, then send. Each family gets an email with a PDF and a secure link showing your bank details, plus a card payment option if you've connected Stripe. You can read more on the tutoring invoice software page.
Frequently asked questions
Is there a free tutoring invoice template for Australia?
Yes. The plain-text templates on this page are free to copy into an email, Word or Google document, or a spreadsheet. Use Template 1 if you're not registered for GST and Template 2 if you are. Replace the bracketed placeholders with your own details, number each invoice in sequence, and send it to the parent as a PDF.
What must a tutoring tax invoice include?
For sales under $1,000, a tax invoice generally needs the words "Tax invoice", your identity and ABN, the issue date, a description of the lessons, and the GST amount or a statement that the total includes GST. Sales of $1,000 or more also need the buyer's identity or ABN. Check the ATO website for current rules.
Should I put GST on my tutoring invoice?
Only if you're registered for GST. Registration is required once your GST turnover reaches $75,000 a year and is optional below that. If you're not registered, don't add GST and title the document "Invoice". If you are registered, private one-to-one tuition is generally not GST-free, so you'd usually include GST.
How do I number tutoring invoices?
Use a simple sequence such as INV-0001, INV-0002 and so on, and never reuse a number, even for a cancelled invoice. Sequential numbers make invoices easy to find, give parents a clear payment reference, and help you spot a missing invoice. Some tutors add the year, for example 2026-001, which also works.
Can I put siblings on one tutoring invoice?
Yes. Bill the parent who pays and list each child's lessons on separate lines, with the student's name in the description, for example "Maths, Year 8 (Leo)". One invoice per family means one payment for the parent to make and one reference for you to match, which usually speeds up payment.
